Employee Productivity Calculator

Measure what each employee actually produces โ€” in revenue, output, or value โ€” relative to their cost.

Employee productivity measures the output (revenue, units, tasks) generated per employee or per labour dollar. The productivity ratio โ€” revenue divided by total labour cost โ€” shows how many dollars of value your team generates for each dollar you pay them. World-class SaaS companies target $300Kโ€“$500K revenue per employee.

The Formula

Revenue/Employee = Revenue รท Headcount. Productivity Ratio = Revenue รท Labour Cost

In plain English

Divide total revenue by headcount for revenue per employee. Divide revenue by labour cost for the productivity ratio.

Worked Example

$5M revenue รท 20 employees = $250K/employee. $5M รท $2.4M labour = 2.08ร— productivity ratio.

Benchmarking Employee Productivity

Revenue per employee is a company-level efficiency metric that varies significantly by industry, business model, and stage. Pure software companies (low COGS, high gross margin) naturally achieve higher revenue per employee than services businesses.

The productivity ratio (revenue/labour cost) should ideally be above 2ร— for services businesses and above 3ร— for product companies. Below 1.5ร— means your team is generating less revenue than 1.5ร— their cost โ€” which rarely leaves room for profit.

Common Mistakes

โš ๏ธ

Comparing revenue per employee across different industries

A $400K/employee benchmark is realistic for pure software but unreasonable for a services company. Always benchmark within your business model and industry peer group.

โš ๏ธ

Not accounting for contractors and outsourced work

If 30% of your work is done by contractors not counted in headcount, your apparent productivity inflates. Use total equivalent headcount (including contractors) for an accurate picture.

โš ๏ธ

Using headcount instead of FTE

Part-time employees, interns, and contractors count differently. Convert all to full-time equivalent (FTE) for comparable productivity metrics.
